Item Intelligence — finding duplicates

Scanning for records of the same thing entered twice, and reviewing the matches safely.

1 min read

Catalogue enough and you will enter something twice — especially after an import, or when several people share a workspace. Item Intelligence finds those pairs.

Running a scan

  1. 1Open Item Intelligence in the sidebar.
  2. 2Start a scan. It compares names, descriptions, manufacturers, models, categories, conditions and estimated values across the workspace.
  3. 3Wait for the analysis to finish, then review the matches.

Reading the results

Each pair is graded as a high, medium or low match, with the fields that agree shown side by side and photo previews so you can compare without opening both records. Nothing is merged or deleted automatically — you decide on every pair.

Tip

Before deleting one of a pair, check which record has the photos, files and history. Keep that one, copy anything unique from the other, then delete.

Scan history and notes

Past scans are kept so you can see what you have already reviewed, and you can attach a note to a scan — checked, these two really are a matching pair. Retention can be set to 7, 30, 90 or 365 days, a custom number of days, or never expire. Old scans can be deleted individually.

Note

Duplicate detection needs the Collector plan or above. On Free and Starter the page explains this rather than running an empty scan.

You can also drop a photo onto the page to look for items resembling it — useful when you are holding something and cannot remember whether it is already catalogued.
