Members, roles and permissions

Inviting people into a workspace and deciding what each of them may do.

2 min read

An organisation workspace can have several members, each with a role that decides what they may do. Manage them from Users & roles in the sidebar.

Inviting somebody

  1. 1Open Users & roles.
  2. 2Press to invite, and enter the person's email address.
  3. 3Choose the role they should have.
  4. 4Send. They receive an email with a link that accepts the invitation; if they have no ELVOAQ account, they create one first and the invitation is waiting.

The six roles

Users & roles also has a role hierarchy panel that shows these permissions on screen, with the number of members currently holding each role.

Owner
Full control of the workspace: billing, settings, transferring ownership, deleting the workspace, and everything an Organisation Admin can do.
Organisation Admin
Manages workspace settings, invites and removes members, assigns roles up to Manager, configures the AI features, and sees all items and analytics. Cannot touch billing or delete the workspace.
Manager
The day-to-day working role: creates and edits items, approves suggestions, moderates comments, uses the AI tools and creates share links. Cannot manage members or change workspace settings.
Reviewer
Views items, suggests edits and posts comments, but cannot create or directly edit anything. The right role for somebody whose opinion you want without their hands on the records.
Viewer
Read-only. Views items, reads comments and downloads files. Cannot edit or comment.
Guest
The most restrictive role. Sees only the items explicitly shared with them, never the full workspace, and manages nothing.

Changing or removing access

A member's role can be changed at any time, and removing a member revokes their access immediately. Nothing they created is deleted, and their name stays in the audit trail — the record of who did what has to stay honest.

How many members you may have

Free and Starter are single-user. Collector allows 3 per workspace, Pro 10, Business 25, and Ultimate is unlimited.
